Assigning Performance Documents to Employees in Oracle HCM

📌 Overview

Oracle HCM allows HR administrators to assign performance documents to employees through eligibility profiles and batch processes. This ensures that the right employees receive their performance documents as per organizational policies.

📋 Steps to Assign a Performance Document

1️⃣ Assign Performance Template

The first step in assigning performance documents is choosing the correct template that aligns with the company’s performance management process.

2️⃣ Run Eligibility Profile

📢 Why?

  • The eligibility profile determines which employees qualify for a specific performance document.
  • The system automatically checks employee records to determine eligibility.

3️⃣ Handling Ineligible Employees

💡 If an employee is marked as "Not Eligible" for a performance document:

  • The document can be forcefully assigned by overriding eligibility settings.
  • Use the "Determine Worker Eligibility for Performance Documents" function.

4️⃣ Expected Error Message Handling

⚠️ If you receive an error while assigning performance documents, it may be part of the system’s expected behavior.

  • In such cases, revalidate eligibility and proceed with manual assignment if needed.

📌 Additional Notes & Considerations

📍 Assigning Performance Documents via Batch Process

  • Use the "Eligibility Batch Process" to assign performance checklists.
  • This automates the mass assignment of performance documents to eligible employees.

📍 Goal Completion Tracking

  • Development Goals allow tracking goal completion percentages.
  • Performance Goals, however, do not support completion percentage tracking.

📍 Check-Ins & Performance Notes

  • Line Managers cannot edit employee-created notes in the Check-In module.
  • Check-Ins linked to a Performance Document will open in PDF format when accessed.

🚀 Why is This Important?

✔ Ensures employees receive the correct performance documents.
✔ Automates the eligibility process, reducing manual effort.
✔ Allows HR to override eligibility rules for special cases.
✔ Improves performance tracking and goal management.
