What is a Learning Initiative?

A Learning Initiative is a recurring learning assignment designed to automatically assign training to learners on a regular basis (e.g., monthly, annually). It supports structured programs like:

  • Onboarding
  • Compliance training
  • Leadership development
  • Technical or job-specific training

Example: Automatically assign training to employees upon joining the Finance department and withdraw assignments for those who leave.


Assignment Types:

  • Catalog Item Assignment: Internal learning items listed in the catalog.
  • Noncatalog Item Assignment: External or informal learning (e.g., college courses) recorded in learner history.

Key Fields and Configuration:

  1. Initiative Start Date:

    • Learners see the training in their "Current Learning" from this date.
    • Use HCM Data Loader to assign on a past date if needed.
  2. Initiative Stop Date:

    • Stops new enrollments while keeping existing assignments active.
  3. Initial Due Date Option:

    • Sets first deadline for learners.
    • Example: Assignments created on March 25 with a due date of May 1.
  4. Ongoing Due Date:

    • Used during initiative reconciliation to manage deadlines for newly added learners.
    • Specify due within ‘X’ days (e.g., due within 10 days).
  5. Initial Assignment Status:

    • Active: Learner starts immediately.
    • Bypass Completed: Automatically marked complete.
    • Pending Fulfilment: Await action before course starts.

Learning Item Version Visibility Options:

  • Latest: Learners see the most recently reconciled version until completion.
  • Initiative Start Date: Learners always see the version active on the initiative start date.
  • Assignment to Learner Date: Learners see the version available when learning was assigned.

Validity Period Configuration:

  1. Starts:

    • After Due Date: Validity starts no earlier than the due date.
    • After Completion (Default): Validity starts from completion date.
  2. Expires:

    • Expires on Date: Fixed date after a number of years.
    • Expires on Year: Duration from validity start date.
    • Never Expires: Valid forever.
    • Expires in Days: Set number of days from validity start.

Learner Reconciliation:

  • Option to withdraw assignments of learners no longer part of the target audience.
